Privacy Policy

What we collect, why we collect it, and what you can ask us to do about it.

Last updated:

This policy explains how ITRIX ("ITRIX", "we", "us") handles personal information collected through itrix.co.za and in the course of providing our services. We process personal information in line with South Africa's Protection of Personal Information Act, 2013 (POPIA).

1. Who is responsible for your information

ITRIX is the responsible party for the personal information described here.

2. What we collect

We keep this to the minimum needed to answer you and to do the work.

  • Information you give us. When you use our contact form we collect your name, email address, phone number if you provide one, the service you are interested in, and whatever you write in your message.
  • Technical information. Our server records your IP address and the time of your form submission. This is used solely for spam prevention and rate limiting.
  • Client information. If you become a client we will also hold billing details, domain and hosting records, and the account credentials needed to do the work you have asked for.

We do not knowingly collect information from children, and we do not collect special personal information as defined in POPIA.

3. Why we process it, and on what basis

  • To answer your enquiry. Because you asked us to: you submitted the form.
  • To provide services you have bought. To perform our contract with you.
  • To prevent spam and abuse. Our legitimate interest in keeping the form usable.
  • To meet legal duties. Tax and company law require us to keep certain records.

We do not sell your personal information. We do not share it for anyone else's marketing, and we will not add you to a mailing list because you sent us an enquiry.

4. Cookies and analytics

This website sets no tracking cookies. There is no advertising pixel and no cross-site tracking.

Your browser may store a single local preference recording whether you chose light or dark mode. That never leaves your device and is not personal information.

Our fonts and scripts are served from our own server rather than a third-party CDN, so loading a page does not disclose your visit to anyone else. If we later enable website analytics, we will update this policy first and say so here.

5. Who else sees it

We share personal information only where it is necessary, and only with:

  • our hosting and email providers, who store the data on our behalf;
  • our accountants, for billing and statutory records;
  • anyone we are legally obliged to disclose it to.

Everyone acting on our behalf is required to keep the information confidential and to use it only for the purpose we gave it to them for.

6. Where it is stored

Enquiry data is stored on servers in South Africa. If any processor we use stores data outside South Africa, we satisfy ourselves that the receiving country or organisation offers protection substantially similar to POPIA, as section 72 requires.

7. How long we keep it

  • Enquiries that do not become work: up to 24 months, then deleted.
  • Client records: for the life of the relationship, then five years, as tax law requires.
  • Spam-prevention logs: IP addresses are discarded within one hour.

8. How we protect it

The whole site is served over HTTPS. Access to enquiry data is limited to staff who need it. Our systems are patched, backed up daily and monitored.

No system is perfectly secure, and we will not pretend otherwise. If a breach affects your personal information, we will notify you and the Information Regulator as POPIA section 22 requires.

9. Your rights

Under POPIA you may:

  • ask what personal information we hold about you, and get a copy;
  • ask us to correct or delete anything inaccurate, irrelevant or out of date;
  • object to processing based on legitimate interest;
  • withdraw consent, where we relied on it;
  • complain to the Information Regulator.

Email sales@itrix.co.za and we will respond within a reasonable period, and in any event within 30 days.

The Information Regulator (South Africa) can be reached at inforegulator.org.za, or by email at complaints.IR@justice.gov.za.

10. Links to other websites

Where we link to another site, that site's own privacy policy governs what it does with your information. We are not responsible for their practices.

11. Changes to this policy

If we change how we handle personal information we will update this page and change the date at the top. Material changes will be communicated directly to active clients.
